1. Introduction

These Terms and Conditions apply to all services provided by [Business Name] (“we”, “us”, “our”), a New Zealand and Vietnam-based dental tourism coordination service. By booking, paying a deposit, or using our services, you acknowledge that you have read, understood, and agree to these Terms and Conditions. These Terms are governed by the laws of New Zealand.

2. Nature of Our Services

We act solely as a travel and dental tourism coordinator. We do not provide dental, medical, or clinical services. Our services include planning and coordinating dental tourism travel to Vietnam, liaising with independent dental clinics, travel advice and itinerary planning, airport transfers, accommodation support, visa guidance (general information only), and escorted travel support in Vietnam. All dental treatment is provided by independent third-party clinics and practitioners, and we are not responsible for clinical outcomes.

3. Independent Dental Providers

All dental services are performed by independent dental professionals in Vietnam. The clinic is solely responsible for diagnosis, treatment, procedures, and aftercare. Treatment outcomes are not guaranteed, and we are not liable for any clinical decisions, complications, or dissatisfaction. Any disputes must be addressed directly with the treating clinic.

4. Travel, Escorted Support & Itinerary

We provide escorted travel and coordination services to support your journey. This may include airport meet-and-greet, transport between airport, accommodation, and clinics, escort to appointments, local support, and optional tours in Hoi An, Da Nang, and surrounding areas. Schedules may change due to clinic availability, weather, or unforeseen circumstances.

5. Deposits, Payments & Booking Conditions

A non-refundable deposit may be required to secure your booking. Full payment is required prior to departure unless otherwise agreed in writing. Dental treatment, accommodation, and travel services may require separate payments depending on arrangements. Failure to meet payment deadlines may result in cancellation of your booking.

6. Cancellations & Refunds

All cancellations must be made in writing. Deposits are generally non-refundable. Third-party services such as flights, accommodation, and clinic fees are subject to their own cancellation policies. We may retain reasonable administrative fees for work completed prior to cancellation. We are not responsible for refunds from third-party providers.

7. Travel Requirements

You are responsible for ensuring your passport is valid for at least six months beyond travel dates, meeting all visa and entry requirements, and complying with immigration laws. We may provide general guidance but do not guarantee visa approval or entry into Vietnam.

8. Travel Insurance

Comprehensive travel insurance is strongly recommended. Insurance should cover medical and dental treatment overseas, complications, emergency evacuation, trip cancellation, delays, and loss of belongings. You travel at your own risk and are responsible for ensuring adequate cover.

9. Health & Medical Disclosure

You must provide accurate medical and dental history. Dental treatment involves risks and outcomes vary between individuals. You should seek independent medical advice if unsure. We are not responsible for clinical advice or treatment decisions.

10. Limitation of Liability

To the maximum extent permitted by New Zealand law, we are not liable for injury, illness, death, treatment outcomes, travel disruptions, loss of belongings, or actions of third-party providers. Our liability is limited to the amount paid directly for our coordination services.

11. Third-Party Providers

We work with independent providers including dental clinics, hotels, transport operators, and airlines. We do not control these providers and are not responsible for their performance or services.

12. Changes to Travel Plans

We may modify itineraries, accommodation, clinics, or schedules where necessary. We will aim to provide suitable alternatives where possible.

13. Privacy & Data Protection

We comply with the New Zealand Privacy Act 2020. By booking, you consent to the collection and sharing of necessary information with travel and dental providers for service delivery.

14. Consumer Guarantees Act

Nothing in these Terms excludes your rights under the Consumer Guarantees Act 1993 or other applicable New Zealand law.

15. Acceptance of Risk

You acknowledge that you are voluntarily travelling overseas for dental treatment and accept the risks associated with travel and medical procedures.
